Business systems integration: connect the tools your company already uses.

When orders, invoices, stock and customer data live in five systems, people end up exporting, importing and retyping data all day. We connect your ERP, CRM, invoicing, online store and couriers so data moves on its own, accurately and in real time.

Common problems

Signs your systems need integrating

Each of these is a manual step between two systems, and manual steps are where errors and delays happen.

  • Someone exports a CSV every morning and imports it somewhere else.
  • Stock in the online store does not match stock in the warehouse.
  • Sales cannot see invoices and accounting cannot see the CRM.
  • Orders, invoices and shipping labels are created by hand, one by one.
  • Reports need data from three systems and a weekend in Excel.
  • Every new tool you buy keeps its data separate from the rest.

Every inbox in one pipeline, straight into the CRM

1 inboxfor every team mailbox, sorted automatically
0attachments forwarded by hand
Before
Bookings, supplier offers and invoices arrived across several team mailboxes. Someone had to read every email, copy the details into the CRM, reply by hand and forward attachments to accounting and sales.
What we built
All mailboxes merged into one Google Workspace inbox, read automatically through the Gmail API. Each email is logged in the CRM, categorised and answered based on set rules, and anything that needs action becomes a task for the right person. Attachments are recognised by type and routed automatically: invoices to QuickBooks, offers to HubSpot.

Email and WhatsApp requests routed to the right team automatically

2 channelshandled in one automated flow
InstantSlack alerts for critical requests
Before
Customer requests came in by email and WhatsApp to a shared inbox and a few phones. Someone had to read each one, decide which department it belonged to and pass it on. Urgent issues waited in the same queue as everything else.
What we built
Programmatic access to both email and WhatsApp, so every incoming message is read, classified and routed to the right department automatically. Requests detected as high priority or critical trigger an instant Slack notification to the people who need to act.

Project offers ready in a few hours

2–3 days → 3–4 hto prepare a new offer, human review included
1 platformreplacing scattered PDFs, Word and Excel files
Before
Years of past projects and offers were scattered across PDFs, Word documents and Excel sheets. Preparing an offer for a new project meant digging through old files by hand and took 2–3 days.
What we built
All historical data imported into one platform, with a full, searchable history of past projects and prices. A custom offering engine learns from that history and drafts the offer for each new project. The team reviews and adjusts it before it goes out.

Store, ERP, invoicing and couriers in sync

Minutesfor stock to sync across all channels
0orders retyped by hand
Before
Orders from the online store and a marketplace were retyped into the ERP. Invoices and shipping labels were created by hand, and stock was updated once a day, so products already sold out in the warehouse were still for sale online.
What we built
Two-way integration between the online store, the marketplace and the ERP. Every order now creates the invoice, submits it to e-invoicing and generates the courier label automatically, while stock levels sync across every channel within minutes.

How it works

How we deliver integration projects

  1. 01Free

    Free audit

A 30-minute call. We list the systems you use, how data moves between them today and where it gets stuck.

  2. 02

    Integration map

A written plan: which systems connect, which one is the source of truth for each type of data, the timeline and a fixed price.

  3. 03

    Build & test

We build the integrations step by step, test them on real data and run them alongside the old process before switching over.

  4. 04

    Monitor & maintain

Every integration is monitored. When a system changes its API or you add a new tool, we adapt the connection.

In short

Why internal process integration matters

Internal process integration means data entered once reaches every system that needs it, automatically. An online order becomes an ERP order, an invoice, an e-invoicing submission and a courier label without anyone touching it, and stock updates across every sales channel.

Most small and mid-sized companies run on a mix of tools: an ERP or accounting system, invoicing software, a CRM, an online store and several couriers. Each works well on its own, but the links between them depend on people doing exports, imports and copy-paste. That is where errors, delays and lost hours come from.

Our systems integration services start from your processes, not from technology. We agree which system is the source of truth for each type of data, then build monitored connections through APIs, n8n or dedicated services. The result is accurate, up-to-date data and a team that spends its time on customers instead of moving information between programs.

FAQ

Questions about systems integration

What does internal process integration mean?

Connecting the systems your company already uses, such as ERP, CRM, invoicing, online store, couriers and email, so data entered in one place automatically reaches every other place that needs it. Nobody has to copy data from one application to another.

Can you integrate software that has no API?

Usually, yes. We can work through database access, scheduled file exports and imports, or structured emails. The audit tells you which option is the most reliable for your system.

Do you work with Romanian accounting and invoicing software?

Yes. We work with tools like SAGA, WinMentor, SmartBill and Oblio and connect them to online stores, CRMs, couriers and e-Factura, through APIs where they exist or automated imports and exports where they do not.

Do we need to replace our ERP or CRM?

No. Integration is about making the tools you already have work together. We only recommend replacing a system when it truly cannot do the job, and we explain why.

How long does an integration project take?

A single integration usually goes live in 1–3 weeks. Connecting several core systems end to end takes 4–10 weeks, delivered in stages so you see results early.

What happens when one of the systems changes or goes down?

Every integration has logging, automatic retries and alerts. If a system is down, data is queued and synced once it is back. On a maintenance plan we also handle API changes for you.

How much does systems integration cost?

A single integration typically starts around €1,200, and connecting your core systems end to end starts around €6,000. You get a fixed-price quote after the free audit.

Is our data safe?

Yes. Integrations run on EU servers with encrypted credentials, least-privilege access and full audit logs. We regularly work under NDAs and GDPR data processing agreements.
